How Can a Business File an Insurance Claim with Compensa?

If a warehouse is flooded or a company vehicle is damaged, management needs to keep business operations running and decide which repairs can be carried out immediately. Filing an insurance claim promptly and preserving evidence helps avoid disputes over losses and unnecessary time spent searching for documents.
Perks insurance brokers have compiled a practical guide on how to file an insurance claim with Compensa, covering property, vehicle, and liability insurance, so businesses understand what needs to be done and which actions require prior approval.
In this article:
What Should You Do Immediately After an Incident?
First, ensure everyone's safety. If emergency assistance is required, call 112. Once it is safe to do so, take steps to prevent further damage, such as shutting off the water supply and protecting undamaged goods.
Next:
Take overview photographs of the incident location and close-up photographs of the damage.
Record the date, time, location, and known circumstances of the incident.
Preserve CCTV footage and witness contact details, if available.
Keep damaged property and parts for inspection.
Retain emergency service reports and invoices for urgent work.
In the event of a fire, notify the fire and rescue service. Report theft or deliberate damage to the police, and water supply emergencies to the relevant emergency service or building manager. Official reports help establish the cause of the incident.
Photographing the damage does not automatically mean you can begin full repairs. Before restoring property or disposing of damaged items, coordinate your actions with Compensa.
Urgent work necessary to prevent further damage or eliminate immediate danger should be carried out without delay. Where possible, document the condition before and after the work.
How Quickly Must You File an Insurance Claim?
Notify Compensa immediately, as soon as reasonably possible. Do not wait for a repair estimate or final loss assessment before reporting the incident.
Compensa's KASKO claims guidelines specify a deadline of no later than three working days.
The published commercial property insurance terms KNR20 and KVR20 also require immediate written notification. If a claim is submitted more than three working days after the incident, an explanation must be provided as to why earlier notification was not possible.
Always check the terms and special conditions attached to your specific insurance policy. A deadline applicable to one type of insurance cannot automatically be applied to all business policies.

What Information Should You Prepare?
For the initial claim submission, gather:
Company name, registration number, and contact person's details.
Insurance policy number, if available.
Date, location, and description of the incident.
Information about the damaged property or losses incurred.
Photographs, videos, and other evidence.
Available reports, invoices, repair estimates, and other supporting documents.
If the cause of the incident is not yet known, state this clearly. Distinguish confirmed facts from assumptions in your description.
Missing documents can be submitted later in coordination with the claims specialist handling your case.
Property Damage
Prepare an inventory of damaged items and documents supporting their value.
Depending on the circumstances, Compensa may also request:
Floor plans of the premises.
Proof of property ownership.
A building manager's report establishing the cause of the incident.
If the damage interrupts business operations and your policy includes business interruption insurance, also document the period of downtime and the associated financial losses.
This information will help substantiate the business interruption portion of your claim.
Company Vehicles
Include the vehicle and driver's details, photographs of the accident, and either a completed agreed accident statement or information about a police-registered incident, where required.
Only use an agreed accident statement when the circumstances of the accident allow it.
Contact Perks for assistance. We can help determine whether an agreed accident statement is appropriate for your particular situation and guide you through completing it correctly.
Civil Liability Insurance
Compensa must also be notified of incidents that could potentially result in a liability claim, even if your company has not yet received a formal demand or does not believe it is responsible.
Keep records of:
The incident description.
Relevant contracts.
Correspondence related to the incident.
Any claim or demand received from the affected third party.
Do not admit liability, promise compensation, or pay the claimed damages without Compensa's written consent.
Otherwise, such an agreement does not, in itself, create an obligation for the insurer to cover the payment.
What Happens After Submitting a Claim?
Compensa reviews the circumstances of the incident and the terms of your insurance policy.
If necessary, the insurer may request additional documents or arrange an inspection before making a decision on compensation.
Keep the claim submission confirmation and claim reference number, if one has been assigned.
Use this reference number in all subsequent correspondence and designate one person within your company to coordinate documentation. This helps prevent information from being lost between colleagues.
If the insurer's decision or compensation calculation is unclear, request an explanation of:
The policy provisions applied.
The applicable deductible.
Which expenses are eligible for reimbursement.
For Perks clients, we can help review the insurer's explanation and prepare follow-up questions, enabling management to make an informed decision about the next steps.
